Faster SaaS Onboarding: How to Provision New Employees in Minutes

First-day friction costs productivity. Build a licence provisioning process so new starters have everything they need before they walk in.

The first day experience for a new employee sets the tone for their entire tenure. Walking in to find no laptop access, missing software, and a queue of tickets to raise is demoralising — and it costs real productivity in a period when the company has just invested significantly in recruitment and onboarding.

Build Role-Based Provisioning Templates

The foundation of fast onboarding is a defined set of tools for each role. An Engineer joining should get: GitHub, Slack, Notion, their cloud platform access, and any team-specific tools — all on day one. A Sales rep gets Salesforce, Outreach, LinkedIn Sales Navigator, and Slack. Build these templates and keep them current as your stack evolves.

Trigger Provisioning from HR, Not IT

The most common onboarding delay is the gap between HR knowing about a new starter and IT finding out. Onboarding Automation and Reducing IT Overhead

Manual provisioning — an IT team member working through a checklist for every new starter — doesn't scale. At 10 hires per month it's manageable; at 50 it's a full-time job. Automating provisioning workflows so that an HRIS trigger automatically creates all licence requests, assigns role-based templates, and creates a single review task for IT (rather than a task per tool) reduces the IT overhead per onboarding event significantly.

Measure the time IT spends on each onboarding event before and after automation. A reduction from two hours to 20 minutes per new hire, at 50 new hires per month, is 83 hours of IT capacity recovered monthly — capacity that can be applied to higher-value security, infrastructure, or governance work. Document these efficiency gains when making the business case for continued investment in automation and lifecycle management tooling.

Gathering Feedback to Improve the Experience

Send every new employee a brief onboarding experience survey at the end of their first week: did they have everything they needed on day one? Were there any tools missing or access problems? How long did it take to feel fully set up? This three-question survey takes a minute to complete and generates the data you need to identify which parts of your provisioning process need improvement. Onboarding feedback loops are rare in IT; organisations that run them consistently improve faster than those that don't.
